About Inventory Via Email

Enabling this App will allow you to send an email to a Quivers email address with an attached inventory file (in CSV format); any valid inventory positions received from this email will sync into Quivers as inventory.

How it Works

To use this App, you must have a valid email account to send an email with CSV file attachments.

Inventory positions must be provided via a CSV file attachment. CSV is a file format that stands for "comma-separated values"; you can create a CSV file by saving an Excel workbook file as the CSV file format, by downloading a Google Sheet as a CSV format, or if you are performing an export out of your Inventory Management System, it may already get saved in that format.

Your CSV file should contain the following data points:

  • UPC
  • Stock Level

Once you have added this App to your business, you will be able to map the columns of your spreadsheet to the columns Quivers accepts. This way, if your inventory management system provides an inventory export containing additional or unnecessary columns, you can successfully map only what is required to sync your inventory into the Quivers platform.

Once you have mapped your CSV headers, you will send your CSV file attached to a Quivers-provided email address to sync your inventory positions to our platform. Note: Inventory CSV file name cannot have the following special characters: !, @, #, $, %, ^, &, +, =, \, ~,`, ;, “, ?,>,<

Configuration

Step 1: Map & Associate headers of your inventory CSV file with Inventory via Email App

  • Map your CSV headers
    • Step 1: Upload your sample file with headers only using the "Upload" button.
    • Step 2: After uploading, select your fields and map to the standard headers.
    • Step 3: Click on the 'Save' button to save the mapping.

Step 2: Email your CSV as per the following details

  • The email address will be provided within the configuration steps of the app on the Admin Panel.

Step 3: Observe the dashboard tab for progress/errors.

Inventory Syncing timeline

You’re able to send in your inventory as often as you’d like. We recommend that keeping the minimum at once per hour, anything more often than that can cause data to not get imported correctly.

FAQs

Why isn’t my inventory importing?

  •  If your file isn’t importing correctly, you should double-check that the headers are the same as your mappings.

Do I need to send in my entire inventory each time or only updates for stock?

  • After the initial upload of your inventory you only need to send in any inventory position or stock changes to products.

Can I use something other than UPC to upload my inventory?

  • No - UPC is required to utilize this app, you’re unable to upload inventory without UPC.

Can I save this email address?

  • The email address you send your inventory to remains the same so you can add it to your address book.
