This guide provides a complete overview of the Quivers inventory system, including the redesigned interface features, bulk import/export workflows, and the process for marking products as out of stock.

1. The Redesigned Inventory Experience

Quivers has updated the inventory management panel to be more intuitive and powerful. The new interface is designed to help you react quickly to stock changes and coordinate efficiently with fulfillment partners.

Key Features

  • Intuitive Layout: A streamlined interface that puts critical stock data front and center.

  • Real-Time Highlights: Quickly view Actuals, Reserved, and Available stock positions for every product.

  • Direct Warehouse Editing: Update warehouse positions directly within the inventory view without navigating away.

  • Customizable Table View: Use the Settings Gear (top right) to toggle specific columns so you only see the data that matters to your workflow.

Fulfillment Partner Visibility

Use the dropdown menu on the right side of a product to:

  • View Fulfiller inventory positions.

  • Check real-time availability.

  • Verify the "freshness" status of stock data.


2. Setting a Product to "Out of Stock"

To ensure a product is correctly displayed as "Out of Stock" to customers, you must address both the inventory level and the product status.

  1. Navigate to Inventory: Go to Catalog > Inventory in the left-hand menu.

  2. Locate the Product: Use the search bar to find the specific product or variant by name, UPC, or SKU.

  3. Adjust Stock Levels: Lower the stock amount to below your warehouse threshold (typically zero).

    • Tip: To check your specific threshold, click on the warehouse name.

Setting a product as "Out of Stock" can also depend on your Warehouse settings. You can find more information about warehouses in our Managing Warehouses in Quivers article.


3. Bulk Managing Inventory (Import/Export)

To manage large catalogs, Quivers supports bulk updates using CSV spreadsheets.

Importing Inventory

To successfully import stock, your spreadsheet must be in CSV format and contain at least two specific column headers: "UPC" and "Stock."

  1. Prepare your file: Ensure your CSV includes a "UPC" column and a "Stock" column. Other columns are permitted but these two are mandatory.

  2. Navigate to Inventory: In the Quivers Admin Panel, go to Catalog > Inventory in the left-hand menu.

  3. Start Import: Click the blue Import button in the upper right-hand corner.

  4. Upload: Select your CSV file from your computer and click the blue Upload button.

  5. Stay on Screen: Do not close the window until the status bar confirms the upload is complete.

Exporting Inventory

If you need to audit your current stock levels or make bulk edits to an existing list, you can export your data.

  1. Navigate to Inventory: Go to the Inventory section in the left-hand menu.

  2. Start Export: Click the blue Export button in the upper right-hand corner.

  3. Download: Wait for the progress bar to finish. Once the export is complete, the file will automatically download to your browser.
